When creating a new power dialing campaign in smrtDialer, you have the option to generate your lead list in Podio using a view or upload a .csv, .xlsx, or .xls file that will later populate your CRM.

This video below, along with the following article, will help you to create a smrtDialer Campaign with the help of an Excel spreadsheet upload and to set up how smrtDialer will push your leads to Podio.

In this article, we will walk you through the steps of uploading a list directly into smrtDialer.

  1. Add New Campaign

  2. Select a Campaign Type (where you indicate it will be from a .csv, .xlsx, or .xls file)

  3. Map Data Fields & upload list

  4. Confirm Configuration

  5. Link to your CRM (determine which data goes where when a lead is qualified)

  6. Set the Call Script (optional, but recommended)

  7. Configure Agent Permissions

  8. Review, Finalize, and Set Live

✔ Note: Only the Account Owners and Users with granted permission can create campaigns!

To build a new Campaign in smrtDialer, access the smrtDialer tab from your Admin Dashboard and then simply click the ➕New Campaign button.

Step 1 - Add a new Campaign

The first step when adding a new Campaign is to name it and configure the settings in the Call Engine.

Title - Select a name that you will use for this campaign, to help you find it among other campaigns in the future.

Details - Enter a quick description of the campaign. We recommend entering details to make it easy to recognize among other campaigns. These details are optional, but they can be helpful

Call Engine - In this column, set the dialer strategy by selecting:

  • Your Caller ID (single phone number or pool of numbers)

  • The Number of Lines (1 to 4) if you have a multi-line subscription

  • Phone Number Depth (1 to 10) - how many numbers per contact record will be dialed

  • Voicemail Recording & Callback Recording - these need to be created ahead of time in your Media Manager. Hold music is available to smrtPhone Pro subscribers.

Step 2 - Select Excel as the Campaign Type

You have to choose your new campaign's Type.

If you want to proceed with a Podio Campaign, simply click the Podio Icon and then click on Proceed button. If you need further assistance with Podio Campaigns, please check our other articles on this issue. >>

If you want to proceed with a .xlsx, .xls or .csv file Campaign, simply click the Excel Icon and then choose a .csv, .xlsx, or .xls file to upload. Follow the on-screen prompts to locate the proper lead list.

When choosing the Excel Campaign, you have the option to download a template (which is an excel spreadsheet with all of the columns pre-loaded) to create your file. you can customize the template: delete or leave blank columns that you will not use in your campaign.

Note: current column headers are the only ones available for the Excel Upload - custom columns are not currently available because the Target Fields in the mapping are static.

After the upload is done, press Proceed button and move on to Step 3.

Step 3 - Map Data Fields from Spreadsheet

Once you uploaded your file into the Campaign, you are automatically sent to Step 3, Fields Mapping.

To configure your fields drag and drop the desired fields from Source Columns to the Target Columns.

‼️ Note: each phone field must contain a single number. You can add up to 10 phone fields.

When you finished mapping all the fields needed for your campaign, click the Start Import button to migrate the leads.

❗️Note: Pay attention while mapping. If the error Invalid Mapping occurs after pressing Start Import, you might want to check the fields again to ensure they line up.

If you selected the incorrect file by accident, you can simply go back using the Back button and return to the previous page.

Step 4- Confirm Configuration

After you press Start Import, you can use the time while your leads load to double-check that your Call Engine still meets your needs.

You also need to set Filters (Call Dispositions) which will determine which leads remain in campaigns to be dialed again, and which will drop out. (Learn more about dispositions and filters in smrtDialer here>>)

Step 5- Determine Where to Push Qualified Leads

After you have confirmed your basic campaign configuration, you need to decide where to push warm leads in your CRM.

  • Each Campaign built from an Excel upload can be pointed to push warm leads to a different spot. For example, if you are dialing a campaign to Sellers, you can push qualified leads to your Sellers App or if you are dialing a campaign to Buyers, you can push leads to a Buyers App.

  • Each Campaign built from an Excel upload can point to multiple Apps at once. For example - you might want to push the contact information to your Contacts App and Property information to your Properties App. You can do that, and the items will be automatically linked without any additional Podio programming.

Select Your First App

Click on the second tab in the Configuration screen and add a CRM App to map with your Podio.

Choose the Organization, Workspace, and App in Podio where the leads will be pushed while running campaigns.

You must Map Podio Fields to ensure you capture all of the necessary contact data.

You can add as many (or few) fields as you need to get the information from smrtDialer into your Podio App exactly the way you want it.

Press Add App button when you have finished the configuration. Of course, you can also remove this newly created App in case you change your mind or made a mistake.

When you are done with the configuration, press the Save button, and your CRM App is ready to receive the data from the selected smrtDialer Fields for the warm leads.

Select your Second App (Optional)

At this point, you can see all the information available for your campaign: Organization, Workspace, Podio App linked to it, and the date at which the App was added.

Now, you can easily Add another CRM App to your campaign, by clicking the upper green button “New CRM App”.

This second App will be where you can push additional available fields. You can continue to add Apps and map data from the campaign as your strategy requires.

Edit Fields, Relate Fields and Delete Apps

Once your configuration is saved, you will see a list of Podio Apps to which your campaign will push data. You can:

  • Edit or update an existing App to add or remove fields

  • Update an existing App so the fields within it relate to other fields from another App to which you're pushing data (essentially doing the work of Globiflow/Citrix PWA from within smrtDialer)

  • Delete an App

When clicking to Edit, be aware that only Fields Mapping is editable. If you want to change/update the Podio App, you must delete it and start over.

While editing the fields, you can easily map them with a previously selected CRM App – placed under "smrtDialer Fields”: this means that the Fields selected within the smrtDialer Fields (right part), will correspond to the selected ones within Podio Fields (left part).

You have two options:

1. Related Items

In this section, you will be able to select items created in previously configured CRM Apps (if any). When selected, the item created in the previous app will be linked through the Podio relationship field to the item created by the current app you're configuring.

2. Fields

This includes all other default fields that you can freely use to populate a Podio Contact Record

At this point, you should have all of your lead data configured: fields/data to pull into smrtDialer and where it will go when a qualified lead is "pushed" out of smrtDialer by your agents.

Step 6 - Set the Call Script (optional)

Select Call Script that your company would like you to follow to collect important information and upload it here. Your Call Script / Webform needs to refer to the same CRM you chose in the previous step (Podio Mapping).

Step 7 - Configure Agent Permissions

By clicking on Permissions, you have the option to assign agents to specific Campaigns. Adding an agent to a campaign means they are allowed to see Campaign details and make phone calls.

You have the option to just select All Agents or just a few of them to be able to run a Campaign.

Step 8 - Your Campaign is ready

After the Permissions are set, now you can go to see the Campaign's details.

You can:

  • See the Campaign Details

  • Reset it

  • Archive it

  • Change Settings, or

  • Simply start a New Call Session!

Multi-agent Calling

amsrtDialer Users have the possibility to start another session while one agent is running the Campaign.

You simply access the smrtDialer Campaigns, and you can start another session, while an agent is running the same campaign.

The calls will be distributed, you will not call the same leads at the same time. All the features/configurations of the Campaign will remain the same. Also, you can still use the same Caller ID(s)/Number Pool.
