Where to find key performance indicator data within smrtPhone

Why you Should Use Reporting?

One of the most powerful things about smrtPhone is the usefulness of the data collected. It can be sorted and analyzed to help you make better decisions and make your business more productive and profitable.

The data within smrtPhone and smrtDialer will help you highlight winning processes, identify areas of weakness, spot opportunities for better training, and give insights into the key drivers of performance.

A variety of KPI Reports are available for Account Owners and designated users.


Where to find KPI Reports within smrtPhone

The reporting section is in the left navigation under the chart icon πŸ“ˆ : smrtPhone Dashboard > Reports.


Data Included in the Reporting Section

There are multiple pieces of information gathered in Reports, including a summary of your smrtPhone account activity, how a specific phone number performed (inbound/outbound calls), how a particular agent performed, or smrtDialer performance - calls or campaigns.

There are four reporting areas:

  • Overview - A dashboard snapshot of your account activity

  • Team Performance - Text and call data broken down by the user or team members you select

  • Number Performance - Call and text data by phone number

  • Campaign Performance - A dashboard containing information about smrtDialer performance in certain campaign(s)


Customized Views

Depending on the report tab you are on, you can customize the data ranges and exact data points to view exactly the data you're looking for. You can save the custom report you built for future reference. This saved report is called a View.

To save any specific view you set, use the green top-right button called Save View. Name the report and make it public (anyone with KPI permissions can view it) or private (only for your User). You can export any report you customize as a PDF in the Reporting section. You can also delete a view if it is no longer used.


Selecting Report Timeframe

All of the reports are generated based on previous activity. Pay close attention to the timeframe being reported. You can choose to see reports from the past days, weeks, or months or create a custom range.

Use the calendar icon at the top of all reports to select the period you'd like to analyze.

Also, you can see separate reports for smrtPhone and smrtDialer and pick from different metrics available for the 4 report tabs.


Email Scheduled Reports

In the Reporting section, you can opt to have PDFs of reports emailed to you regularly. You can choose the report type, metrics, timeframe, and email address where you'd like it to go.

Access Reports from the left navigation, and press the black icon on the top right corner.

Email Scheduled Reports

Here you have some options to customize the reports you will receive and select the data you prefer. You can follow this process as many times as you want, to receive multiple scheduled reports.

  1. Access Schedule Report (black button)

  2. Click the green button New Schedule

  3. Complete your data.

    Once you press Schedule Export, a drawer pop-up opens and you can customize your data.


    Each category will represent the reports sent in a single email. You can send up to 10 reports (PDF files) per email, from each category. You may complete this form multiple times if you'd like to have various reports from a single category mailed to you.

    1. Reports title - Give an easy-to-recognize name to your report or even a short description. When we email you the reports, it will refer to them by this name.

    2. Email Addresses - Add up to 50 email addresses where the reports will be sent. Type in the box and then hit Enter or the blue button βž• Add Email.

    3. Frequency - Pick between daily, weekly, or monthly reporting and a time.

    4. When to start exporting - The time of the report export & email.

    5. The category: The options match what is available in the custom reporting, as if you were building a View. You can choose one category, more, or all. Each email will contain all of the reports designed in this module - if you'd like to have more than one report from a category, you will need to complete a second form and pull that data.

      To move from one category to another to get more data, press the Category's name on the upper left, while customizing your report.

      Continue to gather the other info that you need and then press again Pull metrics.


      You need to add at least one metric for the selected category, or you will not be able to move on:

      1. Overview - You cannot select metrics, only the product and the time frame, and the system will send an overview of your reports at the frequency you selected

      2. Team - Select the users, up to 5 metrics for timeline and user

      3. Number - Select numbers, and up to 5 metrics for timeline and number

      4. Campaign - Select campaigns and up to 5 metrics for timeline and campaigns

  4. You can rename these Custom Reports. Click the pen icon and add a suggestive name. Once you finish the details, press Pull Metrics and customize another one.

    If you need more data from each category, easily click on the category on the left and then press Pull Metrics. To add multiple reports from the same category, change the metrics before pulling metrics again. Meaning that for each change you operate on the left, you can pull the metrics on the right. As said, you can add up to 10 PDFs per scheduled report.

  5. Press Finish and check your email when it's the expected export time. You will find an email from smrtPhone, containing attached PDF files with the established data reported, sorted by filters. Depending on how many categories you picked, that's how many PDF files you find attached to the email.

Also, the Views that you already saved, can be picked and scheduled for emailing. Select a previously saved view, and once the fields are populated, press Pull Metrics.

Check Scheduled Reports

In the same section, Reports, where you see all of your reports, you can edit or delete scheduled reports. Click on the report's name and see the overview of your scheduled reporting and also edit details. Once edits are made, hit Update to save them.

To delete it, just press the trash can next to its name.

These are not reversible actions so please pay attention.
