smrtDialer Campaign setup: Populating leads into campaigns from a Podio contacts app

This article is dedicated to Podio and Tape users, their CRMs require an extra-step while creating a CRM-based campaign.

🧠 Before this step, you need to choose the type of Campaign you will be using: CRM Campaign or one based on a .xlsx, .xls or .csv file. Choosing CRM will take you to the new configuration screen.

Setting up a smrtDialer Campaign: CRM Mapping

The CRM Mapping Screen

The second step is to select the CRM App that you want to be connected to your campaign and map the corresponding fields that will be displayed when you run the campaign. You can either select your current Seller Leads App or create a new one. It is up to you to create your own workflow.

🌐Podio Users

All you need to do is drill down for your workspace and select the app that holds your leads. Please keep in mind that it is mandatory that you use a Phone Field to store your phone numbers and that you use a Category Field to filter your data.

In the image below, you can see a category field attached to assign leads to certain campaigns.

📼 Tape Users

Set up the Team Views properly before creating the smrtDialer Campaign. Head to your App. To create a new view, you'll have to go inside the App, and click on the plus➕ near the Team Views.

Here you can choose between private and team view, layout of the view, and name your view. Then you can customize the filters. Pick your choice from the drop-down menu.

Once the filters are customized, the View personalized, named, and saved, you can move on to the next step, Call Engine in smrtDialer.

If you plan to use a Private View in a smrtDialer Campaign, you first need to make it Team View, since private views are not recognized by the system.

Fields mapping

You can now map your fields accordingly:

By pressing the Add Field button, you can also add extra fields that will be shown in the Lead Detail Screen during your call sessions. Please keep in mind that the following field types are not supported: Link, Image, and Relationship.

🌐Podio Users: For the Calculation field, you have to do the same procedure: Access your Podio > CRM > Contacts App that you are currently using/want to modify > Modify Template.

Here, you can add the Calculation field, rename it, move it upper/downer, or delete it.

For the Calculation field, it is required to have a certain format:

@ field name + " - " + @ field name


📼 Tape Users: For the Calculation field head to Tape Dashboard > Workspace > App > Customize Fields.

For the regular dialer, you can add the Calculation field as well; the only difference is that you need to add the field among the existing ones and then resync your contacts from Podio Setup.

After you have successfully mapped your Podio App, all you need to do is press the Finish button, and your leads will be imported into the Campaign.


The Campaign Settings Screen

This information applies to both Podio and Tape CRM.

You are only a few clicks away from starting your call session, but let's first take a look at the filtering system.

Inside the Campaign Settings Screen—Call Engine, you have the option to both choose what statuses to skip during your call sessions and what statuses to filter as wrong numbers.

By using the Status Filters, you can select what Lead Statuses to skip when dialing the list:

Similarly, when using the Wrong Number Filters, you can select what Lead Statuses will keep dialing the same lead. For example, when dialing a number from a lead, the call is answered, and if the status is set to Wrong Number, the system will try to dial the next number for that lead. Otherwise, the lead will be skipped.

Furthermore, you also have the option to enable Wrong Number Auto-Remove, which will remove the number from your Leads inside Podio.

The Call Script Tab allows you to add a webform to your campaign (if you are a Podio User) or edit your own Call Script template. The Script will be displayed during your call session inside the Lead window. You have the option to hide the webform by accessing the switch.

The Permissions tab gives you the option to control which of your agents can see this campaign and start a call session. You can either give access to all agents or select certain agents from your workspace.


You can archive the campaign if you do not need it anymore.

In case you want to restore that particular campaign, you can do that by accessing the Admin Dashboard > Campaigns > Archived Campaign and hitting the Restore button.

Or you can delete it for good. From the same tab, hit Delete instead of Restore and that particular campaign will disappear from your list.
